Position: Administrative Officer
Hours: Part time 8am-12:00 or 9am – 1pm Mon to Fri
Job Summary / Main Purpose: As our Administrative Officer, you will play a crucial role in maintaining a smooth and organized workflow. Your responsibilities will include data processing, record management, and, in some cases, accurate transcription of communications from audio tapes. You will be the first point of contact for inquiries from the public, both in person and over the telephone.
Main Duties / Responsibilities: In this multifaceted role, you will:
- Undertake a range of admin support duties, including appointment scheduling, diary management, and processing incoming mail.
- Co-ordinate and process correspondence following agreed procedures within your area of responsibility.
- Handle incoming/outgoing mail, ensuring timely distribution to relevant staff.
- Arrange and attend meetings, taking accurate minutes and ensuring timely distribution.
- Transcribe communications from audio tapes when required.
- Maintain accurate and timely records using both manual and computerized systems.
- Assist in the production and collation of statistics as needed.
- Participate in quality assurance exercises and contribute to the development of local policies and procedures.
- Participate in cash handling duties as necessary.
- Prioritize workload in accordance with expected outcomes.
- Provide cover for staff during periods of sick/annual leave.
Managerial Responsibilities: As a valuable member of our team, you will:
- Participate in the recruitment and selection of relevant staff.
- Contribute to effective team working.
- Act as a mentor as required.
- Train and supervise junior staff, as needed, and allocate work accordingly.
- Assist in managing absence, discipline, capability, and grievance issues.
Criteria:To be successful in this role, you should have:
- 4 GCSEs at Grades A-C including English Language or equivalent qualification, and one year’s administrative experience. OR
- NVQ Level II in Administration and one year’s administrative experience. OR
- A minimum of two years’ administrative experience.
- Highly proficient in the use of Microsoft 365 functionality, including Teams, Excel, Outlook, Word, and PowerPoint.
