Admin Officer

10.98 per hour

37 hours Monday to Friday 8am to 4pm

Based in Newtownabbey

MAIN PURPOSE

The post holder will be responsible for ensuring income is promptly and accurately recorded in accordance with NIHE Standing Orders and Financial process controls.

To contribute to the provision of a modern, professional and responsive service to support

Key Responsibilities

1. Reporting to the Senior Income Officer to assist in the day to day running of the Income Function

2. To ensure Rent, Leasehold and Ground Rent accounts are updated in a timely and accurate manner.

3. To prepare banking lodgements, ensuring income is correctly allocated and policies adhered to.

Main Duties:

4. Prioritise own workload on a daily basis as part of the Finance Income Team

5. Handling of customer’s enquiries and provide various ledger reports ensuring relevant accounts are updated in a timely manner.

6. To process in-coming and outgoing post and update relevant databases.

7. Monitor and manage the rent card allocations.

8. Prepare, process and provide supporting documentation for various month end journals.

9. Liaising with internal and external customers/ stakeholders.

10. Assisting in the introduction of new methods of payments.

11. Filing/archiving of all accounting records in a secure and efficient manner.

12. Undertake ad-hoc duties which may arise from time to time as identified by the Senior Income Officer

General Duties:

13. To ensure continued and effective working relationships with key internal and external stakeholders.

14. To provide a high level of internal and external customer service taking ownership of customer queries / complaints and following issues through to completion.

15. To comply with and enforce all NIHE frameworks, policies and procedures, including but not limited to those relating to legal requirements such as equality, health and safety and information governance.

16. To promote, uphold and implement all NIHE policies, plans and procedures, ensuring policy requirements and timescales are adhered to.

17. To continuously develop personal knowledge and skills to enhance internal and external customer service.

18. To undertake any other duties which may be assigned to meet organisational need and the change agenda and which are reasonably regarded as within the nature of the duties, responsibilities and grade of the post as defined.

Experience and Qualifications

Essential


Applicants must provide evidence by the closing date for application that they meet the

following essential criteria:

1. Possess one of the following:

a. 5 GCSE / “O” Levels or equivalent qualification (including Maths and English

at grade C or above) plus at least 1 years’ finance administration experience.

OR

b. Can demonstrate equivalent continuing professional development/experiential

learning and a minimum of 2 years’ finance administration experience may

also be considered.


2. Have experience of each of the following areas:

a. The use of finance management systems.

b. The use of Microsoft Excel at an intermediate level.

3. Can demonstrate: (To be assessed at Interview/Assessment)
