Job Overview:
We are seeking a detail-oriented and organized Administrative Assistant to join our team. As an Administrative Assistant, you will provide support to ensure efficient operation of the office. This is a vital role in our organization, as you will be responsible for handling administrative tasks and assisting with daily operations.
Duties:
- Perform general clerical duties, including photocopying, scanning, faxing, and filing
- Answer and direct phone calls in a professional manner
- Greet and assist visitors in a friendly and welcoming manner
- Manage incoming and outgoing mail and packages
- Maintain office supplies inventory and place orders when necessary
- Assist with data entry tasks and maintain accurate records
- Schedule appointments and maintain calendars for the team
- Assist with organizing meetings, conferences, and events
- Prepare reports, presentations, and correspondence as needed
- Assist with basic bookkeeping tasks using QuickBooks
Qualifications:
- Proven experience as an Administrative Assistant or in a related role
- Proficient in using office equipment such as printers, scanners, and fax machines
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with Google Suite is a plus
- Excellent typing skills with a high level of accuracy
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Knowledge of basic bookkeeping principles is preferred
