Job description

Due to retirement we are looking for someone to join our team at our Lincoln head office.

To be responsible for the Purchase and Sales Ledger and payroll processes;

To be responsible for production of monthly management accounts and full reconciliations;

To prepare Statutory Accounts and VAT returns;

To support the team to resolve all finance related queries;

Assisting with budgeting and forecasting processes;

To work under the guidance of our Consultant CFO.

Main duties:

To process a weekly payroll;

Weekly CIS

Issue final customer invoices

Collate a final “Job Costings Report” for review by the Management Team at the end of each project using our industry specific CRM software.

Ensuring Adminbase CRM System is updated with all relevant financial information

To oversee the purchase ledger function, ensuring all purchase ledgers are complete and closed by the 7th of the month following;

To liaise with suppliers and customers and be the main point of contact to resolve queries

To undertake weekly balance sheet/bank reconciliations to be presented to the Senior Managers;

To prepare monthly management accounts pack to include profit and loss accounts, balance sheets, cash flows, analysis, KPIs, variance analysis and commentaries in accordance with deadlines agreed. Update WIP with input from MD/General Manager.

Calculation, presentation and payment of VAT and corporation tax;

To prepare Annual Statutory Accounts to be signed off by the MD/CFO in accordance with deadlines agreed;

To assist in the production of the annual integrated budget and rolling monthly re-forecasts

To support the Installations Team with credit control and resolve customer queries, ensuring cash received in a timely and accurate manner;

To chase relevant paperwork;

To check and process staff expenses;

To agree payment schedules with the Managing Director and process payments via Bacs or by cheque;

To complete general admin duties, photocopying, posting supplier invoices, statements;

To undertake any other finance related work;

To provide finance support and information to managers;

To ensure all documents are prepared and delivered within the agreed timescale;

To ensure all work is in accordance with the policies and procedures of James Oliver Conservatories Ltd

To work in accordance with health and safety regulations; and also work in conjunction with our Health and Safety Consultant, being responsible for Health and Safety Administration, including completing required paperwork for new starters.

To work in conjunction with our Human Resources consultant, being responsible for HR Administration, including completing required paperwork for new starters.

To ensure all fleet vehicles are correctly taxes, insured, and advise drivers 1 month before MOT is required.

Any other reasonable duty that may be assigned;

Skills, Knowledge and Experience:

Accounting and Payroll experience essential

Excellent communication skills with the ability to communicate with people at all level.

Excellent numeracy and literacy skills with experience of analytical work would be an advantage.

Good computer skills with a sound knowledge of all Microsoft packages and experience of working with Sage line 50.

The ability to either work on own initiative with minimum supervision or as part of a team.

To ensure all work is completed in a timely and accurate manner with proven experience of adhering to deadlines.

A proactive approach to work with the ability to prioritise and manage own workload.

A strong sense of humour with the ability to build good working relations;

A highly-motivated individual with a can-do approach to work and the ability to get the job done in the required timescales.

Excellent team working skills with the ability to develop good positive working relations with all departments;

A flexible approach to work.

The ability to maintain accurate records and complete work documentation in agreed timescales.

The ability to identify and implement new ways of working to alleviate duplication and streamline systems and processes.

A willingness to undertake further training with the ability to implement learning into your daily work.

AAT Qualified or studying towards would be advantageous, study assistance is available
