Job description

Kaboodle is a multidimensional booking platform that unifies ticketing, travel and accommodation to enable promoters and event organisers around the world to create world-class events.

We work with some of the best festivals, venues and events on the planet. Our partners include Boomtown, Drumsheds, Snowbombing, Lost Village and many more. We come from a festival background, so our thorough understanding of the needs of promoters helped us to create a flexible, whitelabel, solution that maximises our Partners' profits and provides a frictionless guest experience from purchase to event entry. We are not just a plug-in or add-on, we are their complete solution.

We are ambitious and curious. We strive for openness and honest communication. We put our Partners' brand first. We are flexible and adaptable. We work collaboratively with everyone. We are built on frictionless technology. We were there from the beginning. We aim to simplify and unify.

We are now looking for an Event Operations Coordinator to join our team to help us maintain the great level of service we currently offer our clients and ensure the smooth operation of our on-site solutions.

Who are you:

You will oversee our on-site Event Operations across our portfolio of clients, being responsible for staffing and logistics. This will involve regular work on-site at these events (both in the UK and abroad). Being a self-starter, capable of taking the initiative and having great attention to detail are all a must.

You Will:

  • Work with the Head of Commercial Operations to oversee our Event Operations.
  • Source staff for our events, both internally and externally.
  • Form, maintain and manage a secondary onsite support team, including a network of freelancers.
  • Manage equipment and supplies for events, sourcing new equipment where required and making sure existing equipment is maintained
  • Book travel and accommodation for staff, working to keep expenditure within budget.
  • Manage our Event Operations, working with the client operations team to ensure the smooth delivery of our services on-site and improving our processes where possible.
  • Conduct post-event staff surveys and report on findings to Heads of Client and Commercial Operations
  • Streamline Event Operations processes and, where applicable, assist with researching new technologies to support our Event Operations
  • Work with our development team to help manage our relationships with key third-party platforms, e.g. QFlow
  • Assist with creating and maintaining relations with third-party suppliers to support our Event Operations
  • Work with our development team to help explore new opportunities for how we operate on-site, e.g. on-site payments, new methods of ingress and reporting
  • Assist the Heads of Client and People Operations to manage overtime and TOIL
  • Assist with identifying ways to reduce costs related to our Event Operations

What we’re looking for:

  • Proven experience working on-site at events
  • Strong knowledge of the ticketing and / or travel industries
  • Excellent communication skills, both written and verbal
  • Computer literacy
  • Effective administration, time management and organisational skills
  • Positive 'can do' attitude, initiative, drive and enthusiasm
  • Team player who enjoys working in a high-achieving environment
  • A commitment to delivering the best
  • The ability to work calmly under pressure
  • Ability to multitask, prioritise, and manage time effectively
  • Proven track record of working to deadlines
  • Active listener, naturally empathetic and with common sense.
  • Flexible to work regular evenings & weekends both in the office and onsite at events with potential international travel to service our overseas events and festivals
  • A clean driving license would also be desirable

The role can be based in Manchester or London

We are currently hybrid working, with teams splitting their time between home and our office in Ancoats (Manchester) or London Bridge (London). We value flexibility and are trusted to work from wherever we feel most productive.

Kaboodle is committed to building an inclusive company where we can all be ourselves while we work together. Our hiring decisions are based on skills and experience, regardless of your race, age, gender, religion, sexual orientation, disability status or anything else. If there’s anything you think we should know for us to support you in participating in the interview process, please let us know in your application. We are also a Real Living Wage Employer. By paying the real Living Wage, we are voluntarily taking a stand to ensure our team can earn a wage which is enough to live on.
