Venesky-Brown's client, a public sector organisation in Glasgow, is currently looking to recruit an Interim Executive PA for an initial 6 months contract on a rate of £19.13/hour (PAYE). The working hours for this role will be 9 am - 5 pm (some scope of p/t, or flexible hours). Responsibilities:- Proactively manage complex diaries to ensure that the Director's time is managed in a planned and thoughtful way. This includes organising logistical arrangements, travel and preparing papers as well as ensuring regular contact with the directorate colleagues, stakeholders and Ministers; ensuring that contact is prioritised so that time is appropriately allocated to priorities at any point and the longer-term focus is maintained. The Directors includes both organisation's and Non-Exec Board Directors Work closely and discreetly with organisation's Subsidiaries Exec team to plan and support joint events and Exec team diary meetings. Ensure the smooth and efficient flow of correspondence from the Director's inbox. Specific mailbox management include handling directly; co-ordinating responses as required; and ensuring urgent queries are dealt with and deadlines met. - Leads on Organisation for meetings, this includes seeking and booking of appropriate venue, ensuring F&B where required and administration support for note taking - Support overall Business team performance, through - providing day to day administrative support for organisation's business activities- provide excellent stakeholder engagement and support for directorate correspondence, government ministerial and Chief Executive correspondence- provide support to the Business Management team when required for ministerial PQs and FOI requests.- Provide team support in relation to calls for corporate information, business plan updates, risk register information.- Contribute to the effective running of the Executive Team. Including the development of and implementing for business processes which support the wider organisation Provide support when required for organisation's ad hoc projects / work to be taken forward.- Support day to day administration for inbox handling, management team and business processes. These include Travel policy / process and Business stationary process and budget controls. Support the Exec with tasks that require carrying out background research / benchmarking and presenting findings. Excellent stakeholder engagement with credible relationships, liaising with organisation's subsidiaries, organisation's clients, suppliers and wider team.- Provide support when required for organisation's ad hoc projects / work to be taken forward.Essential Skills:- Educated to A-Level standard or equivalent. A degree-level qualification would be advantageous, but is by no means essential- Demonstrable experience in a similar role and industry- Proven diary management skills- Excellent communication skills- Exceptional standard of written and verbal English- Competent with Microsoft Office suite- Flexibility on hours- Experience of planning, organising and prioritising workloads to meet tight deadlines and the ability to work flexibly across the whole team if required.- An ability to produce clear and concise written material.- Excellent interpersonal skills, including working with a wide range of people and building positive relationships.- Attention to detail- Focused and responsive- Takes initiative- Excellent multi-tasker- Excellent word processing and IT skills, including knowledge of a range of software packages- The ability to work under pressure and to tight deadlines- Good organisational and time management skills- The ability to research, digest, analyse and present material clearly and concisely- Honesty and reliability- Able to improve performance and systems by adapting skills and resources to fast changing circumstancesIf you would like to hear more about this opportunity please get in touch
