Position: Executive Assistant (Director Level)
Location: Glasgow City Centre / Hybrid Working
Salary: up to £35,000 per annum with brilliant benefits package

We are looking to speak to experienced Executive Assistants to provide high level support to the Director of a leading organisation in Glasgow. For this role you will be a confident communicator, proactive and well organised, and able to handle an ever changing environment daily. Are you who we are looking for?
- Are you an experienced Executive Assistant, with experience ideally gained within a professional services environment?
- You’ll have experience working with high-value business stakeholders
- Detailed knowledge of Microsoft Packages is essential
- You can work well individually, using your initiative, you’ll have a proactive approach
- It is important you are self-motivated and able to manage your own workload efficiently
- You’ll be confident communicator both written and orally
- You are able to adapt well to business or regulatory changes
- It is essential you can work to tight deadlines, meet key targets and deadlines when required and also be able to manage expectations on this as required
- You are reliable, dependable and assertive
What is the day to day like?
- Providing EA and administrative support to a senior level director as well as liaising with his key business stakeholders
- Managing emails daily, actioning, delegating and prioritising as appropriate
- Managing diaries, travel arrangements and meeting bookings when required
- Progressing key tasks, liaising with other heads and staff as required
- Ensuring effective management of the office in the absence of the Director, dealing with all correspondence in their absence
- Managing inbound telephone calls, taking messages or signposting to other teams when required
- Scheduling and managing all departmental meetings, coordinating all logistics daily
- Organising quarterly board meetings, circulating agendas and taking minutes
- Conducting any research as required by the director
- Providing guidance to the director when required for operational or staffing matters
- Proofreading, formatting, and drafting meeting papers or other documents
- Processing expenses and expense claims
- Liaising with various key team members and employees at all levels, building key relationships
- Assisting the wider team and providing cover when required
- Following all internal policies and procedures daily
