The Role
Do you possess strong administration skills coupled with Microsoft office knowledge? Are you a great verbal and written communicator with strong organisational skills, looking to take on a new challenge? If so, we have an exciting opportunity for you.
As the Executive (and Board) Assistant, you will play a pivotal role in supporting our Board members and Executive Director in the effective management of their responsibilities. Your role will encompass a diverse range of tasks, ensuring smooth coordination of meetings, agendas, and ad hoc assistance.
This is a full-time (37.5-hour-per-week) permanent position. You will be required to work a minimum of three days per week in the office.
Key Responsibilities
- Coordinate and schedule board meetings, ensuring all logistical aspects are handled efficiently.
- Manage the agenda development process, liaising with the Chair, Executive Director, and Senior Management Team.
- Prepare and distribute board papers and ensure minutes are accurately recorded and actioned.
- Maintain up-to-date board member records and liaise with relevant departments for necessary updates.
- Provide comprehensive administrative support to the Executive Director, including managing their diary and meeting arrangements.
- Document meetings effectively, ensuring actions and decisions are followed up in a timely manner.
- Organise weekly team meetings and manage travel arrangements for the Executive Director, board members, and staff.
- Coordinate with various departments for event management and internal team events.

The Person
- Minimum 3 years of experience in a similar role, preferably in a multicultural setting.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Word, Excel, PowerPoint, Teams, Outlook, Zoom, and online conference systems.
- Ability to manage deadlines, prioritise tasks, and work under pressure.
- Detail-oriented, self-motivated, and capable of working both independently and as part of a team.
- Flexible and adaptable, able to meet the changing needs of executives and board members.
- Preference will be given to candidates with the Right to Work in the UK and are based in London.
