I am seeking a highly professional and experienced Executive Assistant to provide comprehensive support to a Chairman and Chief Executive. The ideal candidate will be adept at managing a wide range of administrative and executive tasks, ensuring efficient communication with key stakeholders, and coordinating Trust events with precision.
Key Duties:
- Offer executive support to the Chairman and Chief Executive, including communication with Trustees, tenants, residents, funders, and other stakeholders.
- Facilitate effective liaison with Trustees, schedule meetings, and prepare for Trustees’ meetings, including the distribution of Board papers.
- Manage the Chairman’s and Chief Executive’s diaries, itineraries, and travel arrangements.
- Coordinate VIP visits and Trust events, managing guest lists, itineraries, and hospitality requirements.
- Actively engage in the management of Trust events as needed.
- Provide direct administrative support, including drafting correspondence, minute taking, presentation preparation, desk research, and filing.
- Assist with some HR tasks, such as coordinating interviews, onboarding new employees, and managing employee records.
- Handle incoming mail and emails, prioritising and redirecting as necessary, and responding to routine correspondence.
- Work collaboratively within the administrative support team to ensure consistent coverage and team-based working.
Qualifications and Skills:
- Proven experience as an Executive Assistant or Personal Assistant, preferably at a senior management level.
- Exceptional organisational and time management skills with a proven ability to prioritise tasks.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Self-motivated with the ability to work independently.
- A collaborative and enthusiastic team player.
- Commitment to maintaining confidentiality and handling sensitive information discreetly.
- Experience in HR support and event coordination is highly desirable.
