Job description

We are working with an international Contemporary Art Gallery based in London to recruit a Facilities Manager to oversee the operation and ongoing maintenance of the gallery premises. 

Your primary focus will be managing the mechanical and electrical maintenance as a crucial element of the gallery’s function.  You will also take charge of the gallery’s security systems, CCTV and 3rd party remote monitoring firm. Acting as a liaison between the gallery and the landlord/building management company, you will cultivate a positive and collaborative relationship. Safety is paramount, and you will oversee all Fire, Health & Safety protocols, ensuring the completion of all routine tests and collation of all RAMS, where required.  You will also oversee our local, third-party IT support contract, acting as a conduit between them and the Gallery’s in- house team. 

An important part of this role will be to have an ongoing focus on the environmental impact of the gallery’s facilities function and work towards reducing the gallery’s carbon footprint where possible.

You will also be required to work to budgets.  Working closely with the senior director of operations, you will proactively generate and implement cost saving initiatives across the day to day and long-term facilities services of the gallery.

PRIMARY RESPONSIBILITIES (not limited to)

Mechanical and Electrical (M&E) Management

  • Continuously oversee and monitor the working function of all M&E equipment.
  • Take weekly measurements and keep ongoing record of gallery’s temperature and humidity readings.
  •  Manage and schedule all maintenance subcontractors.
  • Ensure monthly, quarterly, and annual visits are carried out.
  • Proactively review 3rd party contracts ensuring financial efficiency at all times.
  • Track and monitor all works carried out, and cross reference against job reports, with a critical eye, prior to remedial works approvals.
  • Act as the point of contact for all building issues or breakages.
  • Troubleshoot and arrange repairs in a timely fashion. 

Fire, Health & Safety

  • Ensure the gallery complies with all H&S regulations. 
  • With the advice of external H&S consultors, manage the annual audit and make improvements where directed.
  • Partner with Senior Art Resources Manager and Senior Technician, and advise/assist with any ad hoc H&S needs for the art handling department. 
  • Keep up to date and schedule all training needs and qualifications – Fire Wardens, First Aiders, Working at Height etc.
  • Proactively identify, implement, and communicate new policies and procedures when required.
  • Manage 3rd party fire safety maintenance companies.
  • Carry out all regularly required tests on equipment. Organise and manage evacuation drills.
  • Maintain up to date and accurate records.

Security

  • Manage and maintain gallery building security, by working with 3rd party contractors to oversee the alarm and CCTV systems.  
  • Carry out regular security checks and ensure all maintenance or repair visits are carried out.

General Building & Office

  • Manage 3rd Party IT support contract. 
  • Main contact for landlord/building management company.
  • Administer all utilities contracts (Gas & Electric), ensuring financial efficiency.
  • Manage and coordinate Lift maintenance.
  • Manage and ensure ongoing maintenance of specialist areas   

QUALIFICATIONS & EXPERIENCE

  • Technical, engineering or maintenance experience, knowledge and understanding is essential.
  • Experience in  a similar role.
  • Excellent communication and interpersonal skills
  • Strong organisational skills, ability to work autonomously
  • Good team player with a ‘can do’ attitude
  • Interest in the contemporary art market is desirable
  • Proficiency in Microsoft Office: Outlook, Word, Excel
  • Fluency in English
  • Good working knowledge of European languages is desirable.
