Finance and Office Manager – Hospitality Club – Up to £38k
Role: Finance and Office Manager
Location: London (Office based)
Salary: £38,000
I’m working with an exceptional Club, one of London's most popular Private Members Clubs spreading over several acres of landscaped grounds, offering a selection of events and sports, whilst being a staple of its neighbour and community.
As the Finance and Office Manager, you will report directly to the CEO and will be heavily relied upon to take on all aspects of financial administration, from managing the general day-to-day finances such as paying invoices and billing customers to ensuring costs are controlled and in line with budgets.
The role will also assist with HR and Governance matters and support communications and marketing to members and external parties.
Responsibilities
- Purchase Invoice loading, GoCardless integration, Cash reconciliation, handling capex items, and ensuring all VAT and coding classifications are correct for reporting.
- Raising invoices – Members fees, Events invoice, Coaching income, Landlord costs recovery, other ad-hoc fees.
- Finance operations - Use of debit card & handling card receipts, Direct debits, Employee expenses, and making routine payments.
- Working with F&B Manager on stock movements, reconciling EPOS income, events invoices
- Member fees apportionment, Staff hours accrual, other accruals, assist with management reporting to the board.
- Quarterly and annually - VAT period end, Statutory reporting.
- Working with the reception team on member administration and onboarding, managing the waiting list.
- Working with the events team on member communications, preparing and sending out newsletters to members.
- Handling compliance activities, such as club insurance, safeguarding, data protection
- Manage the annual member renewals.
- Payroll administration - Staff rota management, Payroll process, Time recording
- Supporting HR and Governance matters - Staff contracts and handbooks, Health and safety, Staff onboarding.
The successful candidate.
- Grade, ACA, CIMA, ACCA, or QBE
- Able to operate as a standalone.
- Excellent communication skills, grit, and determination.
- Microsoft365 Dynamic is a plus.
- Human Resources experience in an operations role.
- Knowledge of Xero.
- Experience within a members club environment is desirable.
