Job description

  • Are you an experienced Medical Administrator/Receptionist/equivalent?
  • Have you carried out a range of administrative support tasks such as daily management of emails, telephone, outgoing calls to service users, scanning of documents, booking appointments, managing referrals, and handling post?
  • Can you work on a temporary ongoing basis in Ealing, West London with no end date yet specified, working a total of 37.5 hours pw Mon-Fri from 9am - 5pm?

Your World Recruitment are currently recruiting for a Medical Administrator/Receptionist to join a Healthcare organisation based in Ealing, West London ideally to start as soon possible.

Medical Receptionist/Administrator

Start Date: Ideally ASAP

Sector: Healthcare

Duration: Expected to be ongoing with no end date specified at this stage

Location: Ealing, West London

Working Days and Hours: Monday to Friday, 09:00am 5:00pm (37.5 hours per week)

Hourly Pay Rate:

£11.68 - £12 PAYE inclusive of Holiday Pay

OR

£13.20 - £14.00 Umbrella

Job Summary

To ensure that the highest standards of customer service is carried out ensuring the smooth flow of patients through the hospital whilst carrying out administrative, reception and navigation duties. To act as the first point of contact for patients, visitors, and staff, providing an efficient and effective reception service, projecting a professional, helpful manner. Providing a high level of administrative support within a busy Treatment centre environment, whilst projecting a professional, helpful manner always ensuring complete confidentiality.

Key Responsibilities:

  • To assist all patients attending the clinic, acting as a first point of contact and demonstrating a welcoming manner acting as an ambassador for the hospital.
  • Update any patient information as necessary including GP details, addresses and mobile numbers
  • Electronically arrive patients on the computerised tracking system and navigate to relevant area of the Treatment Centre.
  • Update Trust s patient databases.
  • To process requests for Interpreters and/or Hospital transport services
  • To participate as a member of the team liaising with the public and hospital staff in all areas on a daily basis, ensuring a positive patient experience.
  • Participate in any initiatives within the Department to improve working practices.
  • Navigate the patients to the clinical area using the electronic tracking system, working very closely with the nursing and clinical staff to ensure the smooth flow of patients for Outpatient clinics.
  • Manage clinic and book appointments using the computerised Patient Administration System (PAS) , E-track
  • Distribute forms relating to external surveys to patients.
  • To answer questions from patients and colleagues from within the department and other departments in a pleasant and helpful manner, demonstrating good customer care skills.
  • Pass all medical case notes of patients that Did not attend , cancellations and late arrivals to clinician/nurse for assessment and action as appropriate.
  • Keep patients informed of any delays by updating the electronic tracking system.
  • Support and uphold good team work.
  • To undertake any other clerical duties as from time to time be deemed necessary to ensure the smooth running of the departments.

Skills, Experience or Qualifications required:

  • Medical Administrative/Receptionist/equivalent experience gained within the NHS/Healthcare sector
  • Experience of working in a busy and demanding patient facing role
  • Appreciation and awareness of the data protection act
  • Ability to work within a team in a multidisciplinary service, maintaining an excellent working relationship with staff at various levels
  • Excellent oral and written communication and interpersonal skills
  • Ability to work independently and take responsibility for day to day workload
  • Ability to work under pressure and to deadlines
  • Ability to prioritise own workload and pay attention to detail
