Job description

Our client is a Global Tech Media business based near Holborn. They are looking for an immediately available HR Office Manager to join their business on a Maternity contract until the end of 2024 paying up to 45,000.

The Office Manager role is to ensure that the Office, People, Client and Facility Services London Office is a pleasant and productive working environment by running office operations in a smooth and efficient manner.

Main responsibilities

  • Be the point of contact and support for studios and management in relation to all office and facilities matters.
  • Work closely with studios and their management to ensure they are fully supported in their short- and long-term office needs.
  • Manage Front of House / Office Assistant. Set and delegate duties, be a point of escalation and ensure professional development.
  • Provide full cover for the Front of House as required (covering sickness & holidays).
  • First line of contact and point of escalation for our external suppliers and contracts, such as cleaners, hygiene, printer/copiers, plants and office supplies.
  • Provide administrative support to the Managing Director including diary management, travel bookings, minute-taking and event planning.
  • Work closely with internal (and sometimes external) IT support to ensure excellent functioning of IT systems throughout the office at all times.
  • Supporting individual studios with ad-hoc administrative support as required.
  • Contribute to a positive office culture by organizing activities, socials and occasional 'treats' in coordination with studio management
  • Support new starters by meeting them on their first day and leading the 'office' element of the onboarding process.
  • Manage 'office-running budget' and ensure cost effective and timely replenishing of supplies. Oversee procurement of all required office supplies, including food & drink, printing supplies and stationary, etc.
  • Provide support in the selection, purchasing and installation of new office assets, such as furniture and non-IT equipment
  • Be the primary steward and leader in emergency situations - fire evacuations, etc.
  • Conduct Health & Safety risk assessments where required. Incorporating on the first day of employment DSE overview and H&S induction. Ensure that other risk assessments are performed (e.g. pregnant workers, home workers and lone workers) as necessary
  • Investigate circumstances and causes of accidents and take necessary steps to prevent recurrence, including keeping written records of accidents, investigations and actions taken
  • Maintain appropriate quota of First Aiders and Fire Wardens across all shifts.
  • Monthly filing of invoices & receipts from purchases made via the Studio credit card.

Experience and Skills Required

  • Good experience in a similar HR office management role
  • Experience supporting senior management with ad-hoc administrative tasks
  • Strong communication and interpersonal skills - written and verbal
  • Able to manage others and delegate up & down when necessary
  • The ability to think on your feet and take initiative
  • Works well under pressure and managing multiple projects / priorities
  • Ability to work well within a team environment as well as independently.
  • An understanding of financial processes and appreciation of commercial needs
  • A highly organised, structured approach to work
  • PC proficiency, in particular Microsoft Office suite

While there is a degree of flexibility regarding working remotely, the Office Manager will need to be available to work in the office full-time (5 days a week) if required.
