Our client, an innovative Sales and Marketing company specialising in the Pharmaceutical Industry with a global network of partners, is currently seeking a self-motivated and detail-oriented Office Manager/Bookkeeper to join their small team based in Preston. The ideal candidate will have experience with Sage 200 and possess a strong financial acumen. This role involves managing financial activities along with overseeing day-to-day office operations.
Reporting to the Company Director, your responsibilities will include, but are not limited to:
Financial Management:
- Daily use of Sage 200 for efficient bookkeeping, including banking, reconciliation, and processing payments of invoices.
- Oversee the processing and coordination of orders, ensuring accuracy and compliance with industry regulations.
- Generate and send invoices to clients, managing the invoicing process, and maintaining meticulous financial records.
- Record and track customer payments, following up on any missed payments.
- Monitor and manage petty cash, expenses, and budget tracking.
- Prepare financial reports for management, providing insights and recommendations for improvement.
- Maintain an organised filing system for financial documents and records.
General Office Management:
- Handle day-to-day office tasks, including dispatch activities.
- Ensure strict compliance with pharmaceutical industry regulations, following precise systems and documentation procedures.
- Manage office supplies, order replenishments, and negotiate with suppliers for cost-effective solutions.
- Maintain an organised and efficient filing system for both physical and digital documents.
- Facilitate and coordinate meetings, including preparing agendas, taking minutes, and ensuring follow-up actions are completed.
- Act as the primary point of contact for external stakeholders, including clients, vendors, and service providers.
The ideal candidate will have previous experience with Sage 200 or similar accounting software, along with experience in bookkeeping and office management. Familiarity with pharmaceutical industry regulations would be advantageous. Above all, you will demonstrate strong organisational skills and attention to detail with a team-oriented mentality.
