Company Overview: We are a dynamic and growing small IT business committed to providing cutting-edge technology solutions to our clients. As we continue to expand, we are seeking a highly organized and proactive Office Manager to join our team and play a pivotal role in ensuring the smooth day-to-day operations of our office.

Job Summary: As the Office Manager, you will be responsible for overseeing the administrative and organizational aspects of our office. You will play a key role in fostering a positive and efficient work environment, supporting various teams, and ensuring that the office operates seamlessly.

Responsibilities:

  1. Administrative Support:

    • Manage general office activities and provide administrative support to the leadership team.
    • Handle phone calls, emails, and correspondence efficiently and professionally.
    • Coordinate meetings, conferences, and travel arrangements as needed.
  2. Office Operations:

    • Maintain office supplies and equipment, ensuring a well-stocked and functional work environment.
    • Oversee office maintenance, including liaising with vendors and service providers.
    • Implement and maintain effective filing systems for both digital and physical records.
  3. HR Support:

    • Assist in the recruitment process by coordinating interviews, onboarding, and maintaining personnel records.
    • Support HR functions such as timekeeping, payroll administration, and benefits coordination.
  4. Communication and Coordination:

    • Act as a liaison between employees and management, facilitating effective communication.
    • Collaborate with various departments to ensure smooth interdepartmental communication and coordination.
  5. Event Planning:

    • Plan and organize company events, team-building activities, and celebrations.
    • Coordinate logistics for internal and external meetings, including booking venues and catering.
  6. Finance Support:

    • Assist with basic financial tasks such as invoicing, expense tracking, and reconciliation.
    • Collaborate with the finance team to ensure accurate record-keeping and reporting.

Requirements

  • Experience as an Office Manager or Admin Assistant
  • Some experience with supporting the finance function e.g. processing invoices or similar
