Responsibilities:
Administrative Support:
- Manage general office activities and provide administrative support to the leadership team.
- Handle phone calls, emails, and correspondence efficiently and professionally.
- Coordinate meetings, conferences, and travel arrangements as needed.
Office Operations:
- Maintain office supplies and equipment, ensuring a well-stocked and functional work environment.
- Oversee office maintenance, including liaising with vendors and service providers.
- Implement and maintain effective filing systems for both digital and physical records.
HR Support:
- Assist in the recruitment process by coordinating interviews, onboarding, and maintaining personnel records.
- Support HR functions such as timekeeping, payroll administration, and benefits coordination.
Communication and Coordination:
- Act as a liaison between employees and management, facilitating effective communication.
- Collaborate with various departments to ensure smooth interdepartmental communication and coordination.
Event Planning:
- Plan and organize company events, team-building activities, and celebrations.
- Coordinate logistics for internal and external meetings, including booking venues and catering.
Finance Support:
- Assist with basic financial tasks such as invoicing, expense tracking, and reconciliation.
- Collaborate with the finance team to ensure accurate record-keeping and reporting.
Requirements
- Experience as an Office Manager or Admin Assistant
- Some experience with supporting the finance function e.g. processing invoices or similar
