Location: HARIBO Sales Office - Dublin
Working hours: 38; Monday- Friday: 08:30-17:00 (hybrid working)
Salary: €45,000- €52,000; plus a 5% bonus!

We are on the hunt for a Office Manager- Sales Administration to join our sweet life of HARIBO! This is a tang-fastic opportunity to join our HARIBO family in Ireland to manage all aspects of administration across; Sales, Customer Services and Finance.
This could be your opportunity to secure a role which encompasses overseeing administrative processes, coordinating sales-related activities, and also providing support to our wider Sales and management team. You will sit firmly within our team of nine colleagues and actively support three Sales Administrators on a day-to-day basis. Maintaining sweet and flavoursome communication between our team in Ireland and wider HARIBO colleagues within the UK and further afield will also be key.

Office administration and leadership:
- Taking ownership for the leadership and development of the Sales Admin team
- Overseeing general office operations and acting as a Health and Safety Coordinator
- Maintaining all relevant databases, scheduling, and coordinating meetings/ travel arrangements for sales colleagues as well as liaising between internal departments
Customer Services:
- You & your team will act as the first point of contact for customer inquiries, resolving issues or redirecting them to the appropriate sales representatives whilst also managing customer accounts
Sales Support:
- Providing administrative support to the Sales team including; preparing sales-related documents, reports, and presentations
- Co-ordinating with sales representatives to ensure timely submission of sales reports, expense reports and other documentation
Order processing:
- Managing the order processing system; including receiving, renewing, and processing sales orders accurately and efficiently
- Collaborating with relevant departments to ensure orders are fulfilled promptly and accurately whilst monitoring order status and communication updates to customers and internal stakeholders
- Processing sales and purchase orders using internal systems and following company processes as well as processing customer invoices, P.O.D control and filing
Stock control/ Management:
- Carefully monitoring stock levels, tracking inventory movement, and coordinating replenishment as needed
- Being responsible for the management of intercompany purchases of HARIBO products as well as the EDI systems for customers
- Taking ownership of all credit control activity in Ireland including liaising with the UK team as and when needed and managing all other day-to-day financial tasks
- Working collaboratively with internal Supply Chain teams and external distribution companies
- Processing goods-in paperwork, supplier invoices, customer payments and bank lodgements
- Assisting in audit activity as well as complying with the requirements of the Environmental Management System (EMS) and the Environmental permit
Providing a safe and compliant working environment:
- Maintaining and promoting good levels of housekeeping within the work area
- Being aware of all relevant company standards and systems and ensuring these standards are being met
Can you supply our essential ingredients?
Do you have a solid background in office administration including; the perfect blend of experience across Accounts Receivable, Accounts Payable and Credit Control? Have you also ever worked within an FMCG, Sales or Customer Service environment? If you re ticking our boxes (or bags), we would 100% love to hear from you!
At least two years experience within a Team Leader or Manager role would be key to sugary success within this role whilst also being able to demonstrate top shelf excel abilities as well as working knowledge of SAP systems.
