OFFICE MANAGER
REPORTING TO: Director of HR
WORKING HOURS: 12-16 hours per week (Monday – Thursday)
LOCATION: Holborn Studios, Eagle Wharf N1, London
AREA OF RESPONSIBILITY: Office maintenance and administration
KEY INTERNAL INTERFACES: HR, Finance, Producers, Creative, and Post-production
KEY EXTERNAL INTERFACES: External service providers, suppliers, and event caterers
SALARY: £35K (FTE)
A bit about DTV
We are direct marketing fundraisers who help NGOs acquire new donors through direct response television, film, and radio. We help to inspire current donors to continue to keep giving. We use film to recruit major donors. We work with media agencies and call centres to help NGOs manage response effectively and get the best deals possible. DTV is now an employee-owned trust (EOT).
DTV London is our HQ, we also have offices in Hong Kong, Sydney, Seoul, and Vienna, serving our International NGO's who are based around the globe.

We are looking for a skilled, proactive and friendly Office Manager to work in our support team of 5, starting in September. This role will support the smooth operation and maintenance of DTV Group’s office, overseeing logistics, facilities management, staff support, and event coordination.

The role
- Administration: Provide administrative support, including managing emails, slack queries, Skedda booking system, organising couriers. Oversee the day-to-day management of DTV London office.
- Resource Coordination: Ensure the office is clean, organised, and adequately stocked with necessary supplies such as office equipment, materials, cleaning products, kitchen supplies and refreshments. Arrange catering for meetings, workshops and events.
- Facilities Management: Serve as the first point of contact for office and building maintenance such as plumbing, leaks, air-conditioning and heating. Liaise with Holborn Studios (HS) on issues impacting daily operations and maintenance visits, studio bookings and food/beverage orders.
- Supplier Management: Manage service contracts for alarms, fire protection, air conditioning and coordinate with service providers for shutters, window cleaning, and other office maintenance tasks
- Onboarding Support: Assist in preparing for new joiners, including organising welcome goodies, building access, and equipment as well as conducting office inductions.
- Event Management: Coordinating various team and client events such as Pride, MyBigCareer, FemFest, Christmas party, and wellbeing initiatives. Occasionally support out-of-hours events or urgent issues.
- Health & Safety: Ensure compliance with Health & Safety policies and procedures, including conducting checks, coordinating PAT testing, maintaining fire extinguishers, and performing fire risk assessments and fire marshall duties.
- Financial and HR Coordination: Communicating with finance on invoicing and billing as well as supporting HR with staff inductions, training, and events.
What skills will you need to shine?
- Previous experience in office management or office administration
- Able to priorities and multi-task
- Attention to detail and accuracy in record-keeping and financial transactions
- Excellent communication and interpersonal skills
- Flexibility and the ability to work independently and as part of a team in a fast-paced environment
- An understanding of and empathy with the charity sector would be highly desirable
