Who are we?
First Integrated Solutions (FIS) provide Lifting, Inspection, Equipment Rentals and HAVS Management and Analysis services to the Energy, Infrastructure and Utilities Industries around the world, from our UK operating bases in Aberdeen and London.

The Role?

An opportunity has arisen within First Integrated Solutions for an experienced Operations Administrator to join the team on a full time, permanent basis; based in Bridge of Don, Aberdeen.

Responsible for carrying out general office administrative duties to assist with the day-to-day operations the successful candidate with be a proficient user of Microsoft Office, hold strong administrative skills and ideally have experience in the use of InspHire / SAP / Maximo.

This list does not represent an exhaustive list but indicates the main responsibilities the post holder will be required to undertake:

  • Generate planning schedules for Inspection Engineer(s) as required.
  • Ensure all relevant 3rd party certification for hire items are scanned in & saved against the equipment on the company database.
  • Ensure all hire equipment declaration of conformities are scanned in & saved against the equipment on the company database.
  • Assist the workshops with scanning & saving all maintenance records onto the company Intranet system, highlighting any defects that maybe reported to workshop supervisor.
  • Assist certification department with the generation of certificates during busy periods of activity or holiday cover.
  • Responsible for arranging Business / Offshore Travel arrangements as required
  • Assist with any required administrative duties as requested.
  • Attend meetings and take minutes where required.
  • Assist to create and maintain competence framework.
  • Support organisational change where required.
  • Assist to report regularly on HR metrics on a weekly (Timesheets), monthly, annual basis.
  • Assist with any other duties as and when required.

Your Qualifications & Experience:

Essential:

  • Proficient user of Microsoft Office (word, excel, outlook)
  • Strong administrative skills
  • Previous experience within a similar role

Preferred:


  • Previous experience in the use of InspHire
