The role
The role will be a key support for the Director Change & Transformation and senior leadership team within Care Services in the provision of a high-quality business and administrative support service.
This will be varied and will support key business activities. You will require the development of good relationships with senior managers across the Bupa organisation.
You'll help us make health happen by
- Pro-actively providing a full confidential administrative support service on behalf of the Director of Change & Transformation including diary and email management.
- Organising any key meetings that the director needs to schedule or attend, including supporting the production of meeting materials cascading agendas and documentation.
- Providing effective and accurate diary management, highlighting required pre reads etc.
- Taking actions and minutes during meetings as required, following up updates on actions.
- Actively Manging the director's inbox, including archive, and responding on there before as requested. Typically, at periods or pressure or Annual leave.
- Playing a role in supporting confidential business activities.
- Supporting the efficient management and execution of other administrative tasks to support including expenses management, travel, and other general administration such as arranging pastoral gifts and events and ordering of any equipment as required.
- Support the BCS Executive PA team by always ensuring appropriate support and cover to Directors.
- Effective organisation and management of hard and soft files, implementing an efficient system for the Director and wider team.
- Assist in organising team activities and events, both internally and externally.
Key Skills / Qualifications needed for this role
- Be an experienced PA who is used to supporting at an Executive/Senior level
- Be used to working in a pressured environment and meeting tight deadlines, thereby demonstrating strong organisational skills and experience of prioritising a busy workload with conflicting priorities.
- Have a high level of attention to detail, be self-motivated, proactive, and able to work well under own direction.
- Possess excellent communication and interpersonal skills, with an ability to communicate effectively at all levels, including strong written communication.
- Be happy to work flexibly when deadlines are tight or may conflict, demonstrating a pragmatic and flexible attitude.
- Have experience of organising events from beginning to end.
- Possess excellent proficiency and experience with Microsoft Office and PowerPoint / Excel.
- Act with discretion in dealing with sensitive issues; always displaying a professional and tactful manner.
- Be trustworthy in handling sensitive information; and ensuring strict confidentiality is always maintained.
