Job description

The Financial Reporting Council (FRC) is responsible for promoting transparency and integrity in business. We are the UK Competent Authority for audit and set the UK Corporate Governance and Stewardship Codes as well as UK standards for accounting, auditing, and actuarial work. We monitor and take action to promote the quality of corporate reporting and operate independent enforcement arrangements for accountants and actuaries. We are looking for two Personal Assistants who are to provide efficient and proactive support to the Director of Audit Market Supervision (AMS), Director of Audit Firm Supervision (AFS) and Director of Audit Quality Review (AQR).

One of these roles will also have PA co-ordinator responsibilities, which will be given up to 10% increase in salary whilst performing these duties. The extra responsibilities are listed below. The role involves:

  • Proactively manage diaries and co-ordinate meetings
  • Manage the Director e-mail and correspondence (including OneNote), including possible sensitive information, answering and drafting replies as well as delegating to others, where appropriate
  • Issue important letters and other documents to external stakeholders, particularly at the major audit firms
  • Proactively track all work for the Director, including highlighting possible deadlines and helping to ensure they are met
  • Drawing attention to urgent matters and/or dealing with items on own initiative
  • Prepare and/or format complex documents in Windows packages
  • Prepare and/or distribute agendas, presentations and papers for meetings, including team and management group meetings
  • Attending meetings and logging action points for follow-up
  • Screen and handle telephone calls, responding independently to any issues and questions
  • Arranging external and internal meetings for other members of the team
  • Schedule internal meetings, such as team meetings and 1-2-1s for the Director
  • Organise national and international travel requirements in line with company travel policy
  • Record hospitality received
  • Prepare monthly expenses and/or invoices and timesheet analysis and administration
  • Assist with event planning and making sure the event runs smoothly
  • Create and maintain up-to-date key internal and external contacts
  • Sharing of knowledge and providing assistance to other teams in Supervision and for other Divisions

PA coordinator role

Core functions:

  • Build strong communications within the group, including the planning, and chairing of regular team meetings
  • First stage interviews for new PA recruitment when required
  • Updating the buddy list for co-ordinating cover for holiday periods and having plans in place to cover sickness and absence
  • Supporting the PAs and administration staff in sharing their knowledge and experience
  • Link between the FRC management and PAs to feedback relevant information
  • Updating the PA SharePoint site as necessary

The Person:

Knowledge

  • Extensive senior level support experience
  • Professional and/or financial services background
  • Good team player with the flexibility to adapt quickly and respond to changing business needs
  • A good knowledge of the methods and practices of your own work and working knowledge of other methods and practices in the department
  • Excellent keyboard skills
  • An excellent level of English spelling and grammar
  • Accurate with good attention to detail
  • Financial industry acronyms
  • Interviewing skills

Qualifications

  • Experience of working as a senior PA in an office environment
  • Advanced level of IT packages including Outlook, Word, PowerPoint, SharePoint, OneNote and Teams

The role is based in our central Birmingham office. The post holder should be able to work flexibly to support the team's activities and also provide cover within the FRC as necessary. The FRC operates a hybrid working arrangement with its workforce, with precise arrangements to be agreed between the employee and the line manager. FRC operates a four-day fortnight in the office.
