Key Areas of Responsibility:
- Responsible for day-to-day support including maintaining stationery areas, administering access control, setting up meeting rooms, porterage of items around the floors, movement of furniture and electronic document management of all incoming postal items and supporting regional office queries and requests.
- Administering supplier platforms for postal and courier services and supporting regional office requests for postal support questions and orders.
- Document management of incoming and outbound postal services, following departmental scanning process including electronic recording of cheques received.
- Delivery of incoming courier items and preparation of outbound dispatches via phone and online booking platforms.
- Ordering postal supplies for local and regional offices.
- Assist Manager to organise regional office postal service redirections, equipment quotations and installation, when required for office moves / closures.
- Gathering daily departmental statistics of activity levels for monthly management reporting.
- Monitor the Post Room email inbox, identify, and clearly mark whether requests are for London or Chelmsford post team and file appropriately when completed.
- Electronically documenting returned post for business to review.
- Porterage of goods and furniture across all floors.
- Set up and breakdown of meeting room and furniture for meetings and events as required.
- Daily review and restock of all stationery and service points, ordering additional items as needed.
- Access control administration to create new / replacement security passes following company policy; manage existing and new systems, temporary access passes and system changes when requested.
- Support departmental onboarding of new starters, including access pass management, fire-walks and issuing lockers.
- Handle telephone and email requests, following up queries in a timely and professional manner.
- Support the Facilities team in the day-to-day delivery of facilities services across the business.
- Deputise for Post Room Manager to ensure department services run efficiently.
- Other appropriate and reasonable duties as required.
Qualifications & Experience:
- Experience of working in a corporate post-room and/or facilities services delivery team desirable.
- Excellent verbal and electronic customer service and communication skills with the ability to be articulate and always maintain a professional and diplomatic approach.
Knowledge & Skills:
- Proficient in all MS Office packages.
- Ability to multi-task and be proactive when dealing with issues.
- Highly flexible. Able and willing to work different shift patterns and supporting colleagues in Chelmsford as needed.
- Able to work as a member of a team and always prepared to identify and put forward service improvements.
- Maintain both accuracy and attention to detail.
- Ability to utilise video-conferencing (Zoom, Teams, WebEx) for communication with immediate teams and wider business.
