We are a proud to be partnering with a well-established legal services business looking to expand their team and appoint a new team member to handle enquiries over the phone and assist visitors face-to-face. This role will also involve supporting the Practice Manager with administrative and secretarial duties as needed.
Responsibilities/General- Answer telephone calls and screen and direct them as necessary, utilising Leap to identify unknown callers.
- Handle queries from clients and third parties, providing directions to the office and information on local car park facilities.
- Maintain knowledge of staff movements and availability.
- Manage meeting room requirements, including booking, providing refreshments, and organising parking.
- Monitor visitor access and maintain security awareness.
- Keep the reception and meeting rooms tidy and well-maintained.
- Open and scan incoming post/DX, saving it to Leap.
- Provide secretarial assistance to the pool as required.
- Assist the Practice Manager in ordering consumables and stationery, maintaining purchase records.
- Ensure kitchen and bathroom supplies are well-stocked.
- Archive closed files and update systems accordingly.
- Request files from Archives as necessary.
- Maintain registers for Wills, LPAs, etc.
- Ensure post is ready and collected by the close of business.
