Who we’re looking for:
We are looking for a motivated, professional individual to act as the Receptionist and first point
of contact for all our clients and visitors. Experienced in handling a wide range of reception and office administrative duties to ensure agency effectiveness, and efficiency. You will be well organised, flexible and enjoy the administrative challenges of supporting a busy and fast paced agency environment.
What you’ll be doing:Reception Duties
·Act as the first point of contact to clients and other visitors to the agency, providing a high quality and professional Reception service.
·Manage calls and other basic queries by phone, email and in person.
·Manage room bookings and prepare rooms for client and senior management meetings including basic cleaning, making refreshments, setting up IT equipment.
·Manage travel bookings.
·General admin work to include filing, courier bookings, photocopying and postage duties.
·Monitor supplies and order housekeeping consumables and stationery items, ensuring adequate stock is maintained at all times.
·Overseeing the day-to-day activities of the office, maintaining stationery supplies, organising deliveries, ensuring efficient and safe operation of work environment.
·To develop and maintain excellent relationships with existing and new clients and associates of the Agency, and with all Directors and colleagues.
·Act as a support to the central Business Team in matters such as Facilities, Health and Safety, Quality Management, and Data Protection.
·Assist in the administration of facilities records such as servicing of alarms, fire equipment etc
·Provide administrative support to the Board of Directors as and when required.
·Comply with Data Protection Regulations and confidentiality with regard to safeguarding personal information at all times.
·Adhere to and support all other company policies, procedures, processes and working practices, including adhering to best practice.
·Make a positive contribution to the future success of the Company.
·Perform any other duties as may reasonably be required from time-to-time.
