Senior School Administrator/Co-ordinator
Location: Leyland, nr Preston, Lancashire
Salary: £28,433.60 to £31,761.60 depending on skills and experience. Plus an annual Expert Payment of £2,500
Hours: 40 hours per week – 52 Weeks per year
Aurora Brooklands School is an independent day school in Lancashire providing specialist education for young people with Social, Emotional and Mental Health difficulties (SEMH).
We are currently recruiting an experienced Senior School Administrator/Co-ordinator to join our team.
The role:
First impressions count, and as our Senior School Administrator/Co-ordinator; your role will be to ensure that the administration operations within school runs smoothly at all times. Your role will include duties to line manage the receptionist, School Administrator(s) and deputise for the school business manager.
You will manage business functions including finance, referrals and placements, transport and fleet co-ordination and information governance and management. To facilitate this, you will become familiar with the IT systems and data collation software, as well as the referral, placement and pupil administrative processes and procedures, and work collaboratively with internal and external stakeholders to ensure day to day functions of the business run effectively.
Fantastic time keeping and organisation skills are a must, as the management of Administration and Co-ordination will be your domain. It would be beneficial to have experience working as a team leader in a previous role and being part of a busy office environment is key.
Key Duties
- Liaise and work collaboratively with internal stakeholders including site-based staff and wider group functions (Business Development - Finance, Quality, HR)
- Line Manage the business support staff in relation to business functions, ie, finance, referrals, HR, pupil administration, transport and fleet
- Participate in Schools Quality processes
- Liaise with external stakeholders including parents/carers, local authorities to arrange visits, meetings to support the referrals and admissions process
- Facilitate and co-ordinate the organisation of the new pupil admission and transition process including new starter pack and new pupil orientation.
- Co-ordinate the transport function as appropriate and to ensure business continuity and optimisation of resources in line with policy
- Champion a range of pupil and staff information management systems and be the School conduit with our Central team
- Oversee the inputting of purchase orders and invoices to ensure that suppliers are paid accurately and in a timely manner adhering to all financial, regulatory and company procedures
- Carry out Line Management responsibility for School Receptionist/Administrator(s) and Drivers
- Ensure the safety and security of reception ensuring entry to premises are controlled and associated protocols are followed
- Ensure that Reception and Conference Room is maintained and welcoming
- Establish and maintain excellent working relationships in contributing to the delivery of an efficient support service
- Support the requirements necessary of the School’s Quality and Governance expectations to include preparing, collating and editing reports in respect of all aspects of School Administration and Support
- Maintaining and updating manual and computerised records
- Organising and facilitating events
- Support the induction of new staff to the school
- To provide support to the recruitment and onboarding processes of staff
- To provide support for HR to include sickness absence reporting and keeping training records up to date
- Prepare documentation and materials ensuring a high level of accuracy
Skills and Qualifications
The successful candidate is likely to demonstrate –
- Experience of working in Senior Administrative role within a school environment and/or a busy Administration office
- Proficient in Microsoft Office Suite, email and web and general office systems
- Adaptable, flexible approach to work including collaborative support to other colleagues to meet demands of the business
- Excellent organisation skills: ability to work independently and effectively without supervision in a busy and demanding environment
- Excellent customer centric communication skills (both verbal and written) at all levels
- Good level of literacy and numeracy (at least 5 GCSEs above C to include English and Maths).
- Accurate typing, touch typing desirable.
