Executive Assistant, to support the company CEO and oversee administrative processes in the office. This is a part-time opportunity for approx' 30 hours per week (onsite), so we are looking for suitable candidates who live within a commutable distance from Bicester.
Key duties and responsibilities:- Become the first point of contact for telephone calls and general correspondence.
- Manage diaries/online calendars, arrange meetings and appointment, and screen access to executive personnel.
- Managing email inboxes.
- Coordinating meeting agendas and business packs, taking minutes and producing follow ups/action notices.
- Preparing reports, briefing papers and presentations for the executives.
- General administrative tasks including corporate governance reports, compliance to relevant legislation and regulations etc.
- Facilities and General Management of the site, including; security, parking, cleaning, catering, waste disposal, utilities, site maintenance.
- Health & Safety representative for the site.
- Manage stationary levels in the office.
- Organise any one-off events, AGM's.
- Lead on any other ad-hoc projects as required.
Skills and experience required:- Previous, recent experience in a Personal Assistant/Executive Assistant role, coupled with relevant office/facilities management experience is ideal.
- Friendly and professional manner with excellent communication skills.
- Strong administrative skills, organised and able to work to strict deadlines and manage confidential information with discretion.
- Competent user of MS Office.
