The Role
Are you looking for an exciting opportunity to make a difference to the future of fusion energy? As Executive Assistant, you will play a pivotal role in providing confidential administration support to two of the UKAEA Directors; The Chief Financial Officer (CFO) & Director of Corporate Services and the Chief Development Officer (CDO) & Deputy CEO.
You will act as the first point of contact for any administrative and operational activities for the CFO And CDO, organising meetings, providing and collating supporting documents, managing emails and diaries as well as carrying out the induction and on boarding of new starters across the two Directorates.
Additional Responsibilities:
- Build links across UKAEA to ensure the CFO and CDO are at appropriate locations fully briefed and prepared
- Manage emails and diaries, travel and visitor arrangements, refreshments, office supplies
- Organise key business events, conference arrangements, and visits for local, national, and international visitors
- Create reports and presentations, manage the papers for the CDO and CFO as well as general document management (including highly sensitive / confidential)
- Entering finance and procurement information in system including purchases, travel claims, receipts, and invoices.
- Coordinating the onboarding of new starters, department changes, and leavers to ensure that correct procedures are followed.
Essential Requirements:
- Significant and demonstrable experience working as an Executive Assistant or PA to executive team
- Demonstrable planning and organising skills with the ability to work on complex tasks running concurrently, with multiple stakeholders, re-prioritising and redeploying work as necessary
- Experience of handling complex diary and travel arrangements
- Confident user of Microsoft Office Applications
- Demonstrable experience of working autonomously and making decisions under pressure using own initiative
