About You

We now have an exciting opportunity for a Field Logistics Coordinator to join our team based in Aberdeen. You will provide operational support across the pillar in relation to the efficient administration of systems concerning personnel logistics, personnel training, and client relations (quotations, PO’s, communications, billing).

  • Experience in producing (and reviewing) reports to the required standard so that they can be authorised internally and then issued to a client
  • Highly proficient in computer programs such as MS Office and data entry/recording
  • “Can do”, continuous improvement, safety-conscious approach
  • Organised and methodical in approach to work
  • High standards of personal integrity when dealing with all aspects of company business
  • Sound communication skills, both written and oral
  • Excellent interpersonal skills – being able to work well with colleagues as part of a team

About The Opportunity

The Field Logistics Coordinator will support the Equipment and Cylinders Coordinator, Field Projects Co-ordinator(s), and Workshop team to fulfil the provision of equipment, cylinders and related consumables to meet client needs.

Key activities:

  • Prioritise the use of Intertek owned equipment and cylinders for rental to optimise the financial return on Intertek assets. If this is not feasible due to high utilisation of Intertek stock, then they will be responsible for overseeing and managing the rental of equipment/cylinders from approved subcontractors.
  • Support the Equipment and Cylinders Coordinator to ensure that items held in Intertek’s rental fleet are maintained and certified at all times, ready for deployment offshore.
  • Administering rental stock fleet to optimise usage in accordance with both approved method and client requirements
  • Ensuring incoming work is handled appropriately and registered accurately into company databases, maintaining maintenance schedules, client repairs and calibrations
  • Ensuring all incoming rental cylinders and equipment are within mandatory certification and maintaining all records
  • Ensuring only necessary paperwork is generated for each job, ensuring pre-approval obtained from clients for third party work carried out and being billed for, liaising with the procurement and billing teams to ensure POs are managed
  • Supporting development and maintenance of client reports
  • Liaise with relevant logistics teams for rotation and ad-hoc offshore trips and issue check in times to the relevant staff
  • Booking client permits to work/client inductions/onboarding and ensuring all relevant pre-mobilisation instructions are given to relevant staff in good time ahead of their trips, working closely with the Outsourced Services Supervisors and Field Projects Coordinators
  • Ordering and tracking PPE as required for the Field Services team
  • Monitor and book health screening, medicals and mandatory training as required, ensuring clients have copies as required for updating the Vantage system
  • Ensure that billing of offshore trips/projects is completed in a timely manner ahead of month end deadlines
  • Support entry and management of data related to the internal and client requirements of rotation and ad hoc trips
