Job Description


Purpose of the role:

It is an exciting time at Legal & General, with a newly appointed CEO who joined us at the beginning of the year. This role is based on our executive floor where you will be working closely with executives, internally and externally at the most senior level. We are in the process of building a CEO Office Support Team and are looking for an outstanding Office Assistant to join us. Working as an Office Assistant to the Group CEO’s Executive Assistant, you will be the foundation that underpins the smooth and successful daily running of the Office.

What you will be doing:

  • Ensuring all meetings are set up appropriately; appropriate meeting rooms are booked, external visitors are registered, papers are issued, technology is enabled, key stakeholders are informed and updated as required.
  • Managing the relationship with the external partners who support travel and accommodation to ensure all needs are clearly understood and met. This will include promptly and efficiently managing any changes to arrangements and ensuring these are communicated and executed.
  • Being responsible for all travel documentation for the CEO; Visa, Global Entry documentation and passport requirements, and specific travel companions as required.
  • Owning and managing the Group CEO’scontacts listin Outlook, ensuring it is always up to date and accessible.
  • Building outstanding relationships with the Senior EAs within the C-Suite, and proactively liaising with EAs across L&G to share details of the Group CEO’s whereabouts, ensuring all key stakeholders are informed, kept up to date and can manage any impact on their stakeholder’s diary arrangements.
  • Maintaining an accurate and confidential record of all expenditure and gifts and hospitality activity to the Group CEO office, ensuring compliance with all regulatory requirements.
  • Managing all expense claims for the Group CEO in a timely, efficient, and accurate manner.

Qualifications
  • Proven track record working as a Personal Assistant, Team Assistant, Team Administrator or Executive Assistant
  • Knowledge and experience of core Microsoft applications including Outlook, Teams, SharePoint, Word, PowerPoint and Excel.
  • Capable of using a variety of technology. Ability and willingness to learn and train others on new tech/systems and sharing knowledge and expertise where necessary.
  • Demonstrates accuracy when sending out reports, papers, and correspondence.
  • Strong team player, capable of working in a fast-paced environment where attention to detail is paramount.
  • The ability to prioritise a busy workload and to be flexible in a continuously changing environment.
  • Self-starter, capable of working alone and unguided but dealing with any situation that arises and confident in making decisions where appropriate.
  • Excellent interpersonal/communication skills at all levels and the ability to create a strong internal and external network.
