About the Role
Our Office Assistant will support the journal teams within the Editorial and Publishing division in an administrative capacity, providing support and solving any issues that may arise. You will build contacts and relationships with other teams including human resources, campus facilities, and the finance department which will assist with the daily operations. This role will focus on helping the Editors and Editorial Assistants with administrative tasks and projects.
This role is located in our London office on a hybrid working model.
Role Responsibilities:
Provide Administrative support to the Nature Portfolio (Nature, Nature Reviews, Research Journals and the Community/Communication Journals) in an assistant capacity as per your guide. Assist the Head of Office Administration with new starter and leaver set ups, projects and general administrative tasks that require support and cover other team members when necessary. Manage shared departmental filing systems on Google Suite and take ownership of any centrally controlled tracking systems already in place for editors (conference attendance/absence registers etc) where required. Be the first point of contact for the department for enquiries as well as monitoring of the shared administration and the general enquiries mailbox. Know how to report facilities requests and use centralised room-booking system. Process and track freelancing costs and Additional payments for the Portfolio. Knowledge of Pubserv to keep Mastheads and staff information up to date Compile and send out monthly newsletters and social media posts for the department.
Experience, Skills & Qualifications:
Essential
Experience working in an office environment is preferred but not essential Knowledge of Microsoft Office suite Ability to work to a specified list of priorities with speed and accuracy Flexibility and ability to work as a team member A positive attitude in the workplace and a willingness to co-operate with colleagues Ability to follow instructions and adhere carefully to established procedures Ability to organise and juggle a varied workload under pressure and to work quickly and efficiently without constant supervision
