Our client is a premium multi-vendor service and repair organisation. They have an exciting new opportunity for a Office Administrator to join their team in Corby.
Reporting to the Finance Manager, the Office Administrator will ensure internal systems are updated and will raise quotes/purchase orders when required. The Administrator will also communicate regularly with customers regarding product status.
General Responsibilities:
Work alongside Repair team to provide regular updates to internal and external customers on ongoing repairs ensuring all internal systems are regularly and accurately updated.
- First point of contact via phone and email for customer probe repair requirements.
- Communicate required repair works and dispatch customer quotations where necessary.
- Work with the sales team to generate customer purchase orders for quotations dispatched.
- Manage and control customer loan probe requirements in line with contractual and commercial requirements.
- Arrange shipment and reverse shipment of loan probes and faulty probes.
- Dispatch and invoice hand-held ultrasound sales, report on stock levels.
- Obtain and process purchase invoices and distribute for approval, verify appropriate approval levels have been obtained.
- Monthly supplier statement validation.
- Supplier invoice processing onto sage.
- Scanning supplier invoices onto sage.
- Expenses - distribute, check, forward for approval and process on sage.
- Provide absence cover for Service Team Co-ordinator.
- Management System whilst adhering to the requirements of IS09001, IS(phone number removed) , ISOI 3485. To strive to sustain and improve environmental best practices into our core business operations in line with our Corporate Social Responsibility Policy.

- Organised and able to follow instructions.
- Ability to build a good rapport with both internal and external customers.
- Able to understand and prioritise own workload.
- Excellent written, oral communication and listening skills, must have experience of communicating via telephone.
- Ability to remain calm whilst still delivering under pressure.
- We are a small company, so a "Team Played' attitude is essential.
- Confident and assertive.
- Experience with Sage 50 accounts is desirable
Benefits
- Permanent full time position.
- 37.50 hours per week - Monday to Friday, 9am to 5pm with a 30 minute lunch break.
- Salary - £23,000 pa
