Your contributions will be essential in ensuring that the workplace runs efficiently and employees are fully supported.
This role would suit someone who can combine office management, PA and operations expertise with some IT troubleshooting tasks.
Your Responsibilities
- Efficient Office Management: Streamline office procedures and ensure seamless processes.
- On-boarding and Off-boarding: Assist with IT and office-related onboarding and offboarding tasks.
- Workplace Optimization: Collaborate with the facilities team to ensure office spaces are set up efficiently, including IT configurations and conference room bookings.
- Process Improvement: Develop and implement up-to-date processes and technologies to enhance team productivity with a focus on security.
- Health and Safety: Oversee health and safety and fire regulations within the office.
- Administrative Support: Provide administrative support to the executive team when required.
- IT Management: Take charge of the internal and external IT function, ensuring prompt and appropriate resolution of requests.
- Asset Management: Maintain and track IT equipment, software, and asset lists.
- License Management: Keep tabs on corporate licenses with vendors and minimize SaaS costs.
- Support and Reporting: Resolve support tickets and generate reports to monitor organizational health and continuous improvement initiatives.
- Hardware and Cloud Management: Configure hardware systems, local servers, email accounts, and cloud-based storage systems as needed.
Your Qualifications
- Experience: A minimum of 2 years managing an office environment, PA, with some IT/System Administration knowledge.
- Office Management: Prior office management experience.
- IT Skills: Proficiency in using Microsoft tools, managing both Windows and Mac computers, and general IT knowledge.
- Communication: Strong verbal and written communication skills for providing IT support and collaborating with stakeholders.
- Procurement: Experience in purchasing and processing purchase orders.
- Innovation: Creative thinking and the ability to bring innovative ideas to the team.
- Finance Understanding: A good grasp of accounts and financial procedures/processes.
- Organization: Exceptional organizational skills.
- Pressure Handling: Ability to perform under pressure and demonstrate initiative.
