Job Description
Our client, a very well-established and reputable accountancy firm in Devon have an opening for a Personal Assistant to come and join their fantastic team. A great opportunity for someone looking to further, or even begin, their career as a PA. Responsibilities may vary day-to-day but will often include, answering calls, taking meeting notes, scheduling, and making other arrangements such as travel. A great telephone and written manner are essential, being a go-to in answering and supporting client queries, potentially meeting them in certain circumstances. Support to the wider accounting team will also be required with tasks such as billing (facilitating and query follow up), company and secretarial work.
Role & Responsibilities
Arranging and booking in meetings for Partners/Managers.
Answering and directing phone calls, ensuring messages are accurately recorded and escalated (including new client queries).
Organise Partner Away Day meetings and network meetings.
Where required attend meetings and take accurate meeting notes
Manage schedules and arrangements for the employer and team, including monitoring emails in the event of absence/holiday.
Act as a first point of contact where necessary.
You may be required to provide support to other departments or reception in the event of absence/holiday.
Set up new clients on the system, obtaining all necessary documentation.
Check and send correspondence to clients as requested by Partner/Managers to post/email or one click.
Managing client records checking in and returning
Scan and upload documents to CCH.
Create bills/help with bill creation where needed.
Finalise bills and generate fee note letters/emails or attach to existing letters.
Monitor MISC code for WIP that can be moved as contacts convert to client.
Check engagement letters as and when they expire.
Proofread and prepare letters for partners approval and upon instruction.
Manage company secretarial matters in line with CS01s and filing requirements, including pulling reports and creating spreadsheets.
Desired Skills
5 GCSEs C (4) or above, including English and Maths
Intermediate level Excel and Word knowledge
Office management or administration/finance management experience desirable but not essential
Knowledge of accounts production software such as CCH desirable but not essential
Understanding how to use the Companies House website is desirable but not essential.
Ability to show initiative and work within a team, managing deadlines and prioritising work effectively.
Ability to build good client relationships; Excellent communication and interpersonal skills that enable you to build rapport with people at various levels.
