We are seeking a professional and friendly Receptionist to join our client's team in a prestigious building located in the heart of the West End of London. The Receptionist is the first point of contact for our visitors and tenants, playing a crucial role in establishing a positive and welcoming atmosphere. This role is ideal for someone with a passion for delivering exceptional customer service and a desire to contribute to the smooth operation of our esteemed building.
Day to Day of the role:- Greet and welcome guests as soon as they arrive at the building, providing a positive first impression.
- Offer refreshments to guests waiting for meetings or appointments.
- Direct visitors to the appropriate person and office.
- Manage incoming phone calls, including screening and forwarding, as well as making external calls when necessary.
- Maintain a tidy and presentable reception area, ensuring necessary materials are available.
- Order and keep inventory of building and office supplies.
- Manage calendars, schedule meetings, and book meeting rooms.
- Arrange travel, accommodations, and prepare vouchers.
- Keep records of office expenses and costs.
- Perform additional clerical duties as required, including filing, photocopying, and posting mails.
- Assist the property management team with various administrative tasks.
- Experience in a receptionist or customer service role is preferred.
- Excellent verbal and written communication skills.
- Professional demeanour with a strong customer service orientation.
- Organisational and multitasking abilities.
- Proficiency in MS Office, email, and calendar applications.
- Ability to work in a fast-paced environment and handle challenging situations diplomatically.
- Flexibility to work different shifts as needed - typically 8am-5pm / 9-6pm Mon - Fri
