We are seeking a Receptionist/Adminstration Assistant to join our team an Beverly Lodge Nursing Home, Newtownards.
The post requires both high degrees of numeracy and IT skills. The post holder must be smart in presentation and professional in conduct.
Administration
- Assisting in the recruitment of staff by scheduling interviews, attending and processing paperwork ie Access NI and references. Ensure Recruitment tracker is updated after each interview. Compile and maintain staff personnel files.
- Maintain absence information to include sick lines and support the Home Manager with absence process/meetings.
- Filing, archiving, photocopying, scanning and typing duties and any other general administrative duties.
- Maintaining client, staff and Company confidentiality at all times and ensure all confidential records are stored securely.
- Issuing of documentation for new employees to include induction pack, staff register, bank details, e-learning (logging staff in) etc.
- Advise HR Department of absences, new starts, leavers, contract changes etc. Liaise and assist with Head Office enquiries and forward all information as required.
- Ensuring staff are NISCC registered.
- Adhering to all Company policies and procedures and legislative guidelines.
- Attendance at and note taking of Staff Meetings, Disciplinary Meetings and Recruitment Interviews as required.
- GP calls in the morning for the nurses.
- Appointments/transport for residents, eg. May need ambulance booked.
- Dietetics/weights/gold crest.
- Mattress audit (monthly).
- Printing labels for blood samples/other samples.
- Ordering uniforms.
- Any other administrative function as required.
Communication
- Meeting and greeting families and potential service users.
- Receiving and dealing with telephone queries and redirect incoming / internal phone calls as necessary.
- Promoting the image of the Home with courteous, mannerly and efficient approach.
- Use of initiative to problem solve for example clarification of staff / family members queries within remit of the role.
Flexibility & Mobility
- Flexible approach to working hours to ensure smooth running of care service
- Willing to travel to any location as required by the employer using own transport
