We are looking for Administrator/Receptionist that will provide administrative support to the Integrated Vulnerable Persons Model.
Duties and Responsibilities:
1 Undertake a range of tasks e.g., reception duties, answering telephone, face to face enquiries, liaising with relevant staff, dealing with visitors, and dealing with routine unexpected problems and situations within the service.
2 Provide general clerical/ admin, support e.g. photocopying, filing, completion of standard forms, responding to routine correspondence.
3 Set up and maintain manual and computerised records/management information systems or service specific management information systems.
4 Sort and distribute mail.
5 Undertake administrative procedures (e.g. reconciliation and processing orders, invoices etc.).
6 Planning and scheduling of events /appointments.
7 Operate relevant equipment/ICT packages (e.g. electronic social care database, Word, excel, spreadsheets, internet).
8 Maintain stock and supplies, ordering of stationary and other supplies.
9 Undertake general financial administration e.g. processing orders.
10 Be aware of and comply with policies and procedures relating to the job holders area of work.
11 Where appropriate provide supervision for other staff carrying out routine administrative tasks.
12 Demonstrate duties and allocate work to other members of staff.
13 Support the role of other professionals.
14 Attend and participate in relevant meetings as required.
15 Participate in training and other learning activities and performance development as required.
16 Contribute to the overall ethos of the council.
17 To undertake duties and responsibilities in accordance with the councils policy and procedures.
18 Be willing to work flexible hours, some of which may be unsociable.
The candidates must have:
1 Level 2 Administration qualification or equivalent experience in relevant discipline.
2 GCSE Grade C or above or equivalent in Math’s and English.
3 General clerical/ administrative/ financial work
4 Experience in supporting clerical/ administrative services for other services.
5 A proven commitment to the principles of Equality and Diversity.
6 Experience of working with/around customer centred service.
7 Effective use of ICT packages.
8 Use of relevant equipment /resources.
9 Good keyboard skills.
10 Knowledge of relevant polices /codes of practice & awareness of relevant legislation.
11 Good interpersonal skills.
12 Work constructively as part of a team, understanding council roles & responsibilities and own position within these.
