The Department
Our Welcome Team continually strive to offer the very best customer experience, where our clients will always feel welcome, we endeavour to understand their needs ensuring that our clients are promptly directed to our legal and financial experts. As a member of our Client Services department, you'll be the first point of contact for clients and visitors, creating a warm and professional atmosphere. Your interpersonal skills will be highly valued as you provide excellent customer service and handle enquiries with utmost care and attention. Team members provide a warm welcome in all our offices, manage meeting rooms and parking, and provide the first point of contact for clients and organising the signing of documents.
The Role
We have a new and exciting opportunity for a Client Welcome and Office Coordinator to join the Client Services Team in our Saffron Walden office.
As a Client Welcome and Office Coordinator, some of your duties would include:
Client Welcome:
- Provide cover/support to the Client Welcome Team.
- Ensure clients are greeted in the appropriate manner.
- Prepare meeting rooms and onsite events, including lunch meeting requests, are correctly set up and the required arrangements made, facilitating organisation of refreshments for Clients and visitors where relevant.
- Assist with banking.
- Management of incoming and outgoing post and the ordering of stationery.
- Monitor inboxes and requests and see any tasks or requests through to completion, ensuring high standards of work and communications are maintained throughout.
- Where capacity allows, work in support of the Legal Departments assisting with administrative and document-based tasks.
Archiving:
- Manage administration of archiving, including the retrieval of wills, deeds, and file documents.
- Check information on business systems is correct for entering and retrieval of all documents.
Facilities:
- Being point of contact and reporting any office or facilities issues to the relevant Manager or IT Manager. This could be issues with utilities, general equipment, printers etc.
Occasional travel to our other offices to cover for this role may be required.
