Office Assistant/FOH – Part-time

A fantastic opportunity has arisen for a brilliant Office Assistant, to join my client, a fast-growing Advertising specialist based in London. They are looking for a personable and bubbly team player who will be able to excel in the role. This is a temporary part-time role with 2-3 days in the office between Monday and Wednesday from 8:30 am-5:30 pm, with a chance to later go permanent.
You will manage the day-to-day facilities and administrative functions of the building, with primary responsibility for the core business functions of IT and office facilities.
What you will do
  • Be responsible for the smooth running of the office building at all times, including but not restricted to the management of appropriate supplies, cleaning and maintenance, utilities, and other service providers.
  • Maintaining a safe and pleasant environment for staff and visitors.
  • Coordinating ancillary staff for cleaning /minor repairs to the premises
  • Ensuring compliance with requirements for First Aid at Work and Fire Wardens, including undergoing/giving appropriate training
  • To ensure the well-being of staff at all times
  • Maintaining a list of people based in the building, issuing door passes and keys
  • Supplying meter readings to utility providers
  • Ensuring the office is supplied with stationery
  • Overseeing that the kitchen area is supplied with drinks & snacks
  • Reception/FOH duties and welcoming guests
  • Co-operate with external IT company
  • Opening/closing the office
  • Assist Directors and team members with ad-hoc projects
  • Event management
  • Manage deliveries and office mail

  • Excellent communication skills
  • Attention to detail and capability of multi-tasking
  • Strong working knowledge of all Microsoft applications
  • Proactive 'can-do' approach
