Main Responsibilities to include but not restricted to:
- Maintain a high level of punctuality and professionalism in overseeing HR compliance-related activities such as, inductions, probationary reviews, supervisions, appraisals, and exit interviews.
- Ensure compliance with HR policies, regulations, and Office procedures in a professional manner.
- Ensure prompt and professional responses to daily HR, office, and business-related inquiries and tasks
- Assign work tasks, including HR, office administration, and business-related tasks, with a focus on timeliness and efficiency.
- Escalate concerns, whether HR or administrative, to the appropriate stakeholders
- Handle statutory adjustments, contract variations, and other administrative adjustments promptly.
- Perform general departmental administration tasks as and when required to meet the needs of the departments.
- Assist managers with general HR, office administration, and business-related queries promptly and professionally. Act as the primary point of contact between senior management and internal/external stakeholders.
- Provide guidance on attendance monitoring, return-to-work conversations, and other operational matters in a professional manner.
- Compile Key Performance Indicators (KPIs) for Senior Management Team (SMT) with a focus on accuracy and timely delivery.
- Analyse data related to retention, turnover, office efficiency, and other business metrics in a professional manner.
- Handle employee relations issues with professionalism and discretion.
- Prepare minutes & action documentation, including notetaking during meetings, with accuracy and in a timely manner.
- Ensuring proactive action is taken to identify, assess and manage emerging risks
- Handle general administrative tasks to support the team.
- Office support – Booking meeting rooms and company strategy days
- Conduct regular data quality checks, identify discrepancies, and collaborate with relevant teams to address issues.
- Coordinate training sessions or workshops to keep assessors updated on industry standards, regulations, and company policies.
- Assist in identifying opportunities for professional development and growth within the team.
- Maintain accurate records of assigned tasks and any issues encountered.
- Generate reports on team performance and progress for management.
Essential Skills / Attributes:
- Applicants must have hands on experience working in HR Administrator role and/or a regulatory compliance related role and must be able to pick up tasks quickly.
- Must have a can do mindset and solution focused
- Can demonstrate excellent time management and multi-tasking skills
- Ability to take accurate notes and produce documents which are grammatically correct and consistent to company standards.
- The ideal candidate will be approachable with a keen eye for detail and proactive attitude.
- Excellent IT Skills, including Office 365, Excel, Report Analytics
- Excellent people & organisational skills.
- Great interpersonal and stakeholder management skills
- Proficient in learning how to use new platforms such as project management tools and CRM/Accounting platforms.
- To work independently and part of a team when and where required
- Ability to work effectively under pressure.
- A confident outgoing personality with a hardworking approach and a robust mental attitude.
- Ability to work without reliance on other team members – to a degree/where appropriate.
