Provision of part time administrative support for Conferences, Awards and other high profile events.
Ths position is for a 12 month contract paying £30,000 pro rata for 25 hours per week, Monday-Friday.
The working hours are 9am-2pm however some flexibility is offered on the start time but you must be able to work Monday-Friday.
Duties:
- Bookings: Taking and processing telephone or email bookings for Conferences, Awards Dinner's and other high-profile events, including raising invoices and sending receipts for credit card bookings.
- Mailings: Preparation and distribution of mailings to potential delegates regarding the above events.
- Badges: Preparation of badge lists an dietary requirements for print.
- Certificates: Creating certificates for Awards winners, highly commended, etc.
- Event information: Drafting and distributing final information to speakers, sponsors and delegates.
- Speaker database: Creating and maintaining a database of speakers, incl. high-res headshots, bio’s and company logos.
- Venues database: creating and maintaining a database of Hertfordshire venues, incl. capacities, costs and high-res photos.
- Slides: Creating PowerPoint presentations when required, including for annual awards ceremony
- Surveys: Creation of surveys (pre and post-event) to assist with design, planning and marketing.
- Slides: Creating PowerPoint presentations where required.
- Co-ordination of editorial content, including sending invitations to Patrons and other members to be interviewed, forwarding members’ news for inclusion; preparing information on upcoming events.
- Database update: Adding details of all articles published.
Miscellaneous
- Emails: Responding to general emails and those from the Enquiries, Editorial, Bookings and inboxes (all shared with other team members).
- Ad hoc tasks: Any additional tasks not included above as requested by line manager or any member of SMT.
