About the Role
Provide comprehensive administrative support to the People & Facilities Lead including employee recruitment, using safer recruitment processes and onboarding new employees. Be responsible for our HR system ensuring all annual compliance checks are performed and employee records are kept up to date.
Responsibilities
- Maintaining databases accurately and data entry; Breathe HR
- Ensuring the organisations DBS checks are carried out in a timely manner, in accordance with government legislation
- Responsible for advertising vacancies on our website and with partners; ensuring all internal documents are completed before starting the process; collating advert responses and communicating these responses to the hiring manager
- Responsible for interview process; checking interviews are added to panel calendars; sending invites to candidates; collecting responses; checking candidates documentation; sending interview outcome emails
- Carry out all pre-employment compliance checks, following our Safer Recruitment Policy
- Ensuring all annual HR compliance checks are carried out and documentation filed correctly; mandatory training completed; car insurance documentation kept up to date
- Be responsible for employee onboarding process; working with the People & Facilities Lead to ensure a smooth and timely induction into Eikon, including requesting equipment and email account
- Responsible for leaver process; sending out leaver information; exit interview; closing email accounts
- Cover reception when required - some flexibility in hours may be necessary
- Using a variety of software packages, such as Microsoft Word, Outlook, Excel etc. to produce correspondence and documents
- Answering email queries
- General administration work including filing & shredding
- Always apply safeguarding and child protection procedures
- Work as part of a team and attend team meetings, training events and participate fully in 1:1 sessions
- Work co-operatively and under the management of The Eikon Charity staff
