- Answer all calls made to the main switchboard in a professional manner using the Starr introduction script for each and every call;
- Greet all guests ensuring they are made comfortable whilst waiting, advise the meeting host of their arrival and direct /escort the guest to the appropriate meeting location;
- Order suitable reading material for the reception area, ensuring that this is presented neatly and is kept stocked with material in date;
- Maintain the booking system for all meeting rooms;
- Liaise with the housekeeper for placing catering orders with approved catering suppliers and within the necessary timeframes so as to ensure the orders meet the requirements of the meeting hosts;
- Liaise with the IT Helpdesk to set up any required IT equipment in readiness for meetings/teleconferences and request assistance to resolve any IT problems as and when they arise;
- Sign for any incoming mail daily brought up by the post room, when needed, distribute the mail to the named recipients and open mail with no addressee and direct to the relevant department;
- Assist the COO in maintaining the offices, meeting rooms and their facilities so as to ensure these are in working order, addressing any snagging items in a timely manner;
- Undertake the joiner / leaver process in completion of new joiner set up forms for issuing/cancelling and tracking of security cards. Updating the spreadsheet for all joiners/leavers;
- Organise passes for any guests and notify the Willis building of their visit;
- Undertake desk assessments for individuals as instructed by International Human Resources.
- Experience is a similar role;
- The ability to make international travel arrangements and co-ordinate multi-stop air and hotel arrangements in consideration of international timelines and any geographical considerations;
- A basic understanding on the insurance industry desirable.
- Delivery of high-end customer service;
- “Completer-finisher” in approach, finishes what has been started and follows up proactively;
- Planning and organisational skills with proven experience of prioritising a conflicting workload;
- Strong communicator, both written and verbal; and
- High level of self-management.
