We are currently recruiting for a polished receptionist and office manager to run the busy reception of a private equity firm based in Covent Garden. Based in their state of the art offices you will be responsible for:
Welcoming guests, and colleagues Set up meeting rooms and video conference facilities Answer incoming calls/screening, forwarding, and taking messages Book and manage meeting room calendars for internal and external meetings Answer and respond to emails, postal correspondence with customers and suppliers Maintain responsibility for updating the health and safety and property manuals Review the Fire Assessment annually and maintain the Fire Safety logbook Book contractors as required to service the Fire safety equipment Deal with all office maintenance issues including air conditioning and PAT testing and liaise with contractors accordingly Order office supplies, stationery, kitchen stock, cleaning supplies, furniture etc. Order lunches for board meetings and weekly lunch for the office on Mondays Book couriers and frank outgoing mail Run occasional errands for the senior members of staff Coordinate taxi bookings Assist with team diary management, travel and accommodation plans as required PA cover (during busy or holiday periods) Type agendas for weekly meetings Provide administrative support for the team as required Process expenses and invoices as required Keep the office tidy and running smoothly
This role would suit someone who is an energetic and positive team player with excellent communication skills, both verbal and written and who is able to multi task.. You should be able to priorities and be extremely organsied as well as a proactive problem solver!
