This permanent position will be based in their brand new studio working alongside an awesome team with some of the best talent in the business!
About the Role:
As a Studio Office Manager, you will play a critical role in ensuring the smooth and efficient operations of the studio. Reporting directly to the Director, you will oversee studio facilities and support HR recruitment processes. This position offers a unique blend of responsibilities, requiring you to manage the daily operations of the studio while contributing to the growth and development of their talented team.
The role:
Facilities Management:
- Oversee daily studio operations, ensuring a safe, clean, and efficient working environment.
- Manage studio supplies, equipment, and maintenance, coordinating with vendors and service providers as needed.
- Implement and maintain health and safety policies and procedures.
- Coordinate with IT support to meet the technological needs of the studio.
- Plan and manage studio space allocation and layout to optimise productivity and creativity.
- Line manage the studio intern, ensuring the smooth execution of daily studio activities.
- Assist the Director with recruitment, including scheduling interviews, coordinating candidate communications, and maintaining recruitment records.
- Play a pivotal role in resource allocation and attending weekly resource meetings.
- Collaborate with the wider studio team to understand staffing needs and provide administrative support during the hiring process.
- Maintain the freelance database with active CV and portfolio evaluations and interviews.
- Support the onboarding process by preparing necessary documentation and facilitating new employee orientation.
- Help maintain accurate and organised recruitment records and documentation.
- Provide administrative support to senior management as needed.
- Manage the planning and execution of internal company events and meetings.
Is it you?
- Proven experience in facilities management and HR recruitment.
- Excellent organisational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and familiarity with HR software.
- Ability to work independently and as part of a team.
- Knowledge of health and safety regulations and compliance.
- Proactive and solution-oriented mindset.
- Detail-oriented with a high level of accuracy.
- Strong problem-solving skills and the ability to handle challenging situations with professionalism.
- Passion for creativity and innovation, aligned with the agency’s mission and values.
- 2-5 years of experience in a fast-paced studio in an assistant or management position.
- Strong communication and interpersonal skills.
- Highly organised with the ability to prioritise tasks.
- Exceptional attention to detail.
- Proficient with Microsoft Office and Xero.
- Experience with HR and recruitment.
