```Job Summary```
We are seeking an Office Administrator or Office Manager to join our small, friendly and growing team in the Northern Quarter. The Office Administrator will be responsible for providing administrative support and ensuring the smooth operation of our office. The ideal candidate will have strong organizational skills, be approachable, provide attention to detail, and have the ability to multitask effectively.
```Responsibilities```
- Perform general clerical duties, including data entry, form completion and scanning
- Answer phone calls and direct them to the appropriate person
- Greet visitors and assist them
- Maintaining logs (e.g. training records, service records)
- Liaise with clients regularly
- Manage office supplies inventory and place orders when necessary
- Assist with scheduling appointments and meetings, particularly for the Managing Director
- Coordinate travel arrangements for staff members
- Prepare and distribute internal communications, memos, and reports
- Maintain a clean and organized office environment
For the role of Office Manager: all of the above plus:
- Assist with Project Management for the entire team
- Assist with invoicing when required
- Assist with contacting sub-contractors and arranging their jobs
- Sort and store sensitive information
- Checking timesheets
- Inducting new starters
- Report regularly to Managing Director and Senior staff
```Experience```
- Previous experience in an administrative role is preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with Xero and/or Smartsheets is an advantage
- Strong computer skills with the ability to learn new software systems quickly
- Excellent phone etiquette and communication skills
- Strong organizational and time management abilities
- Attention to detail and accuracy in data entry and record keeping
