This is a part-time position , 20 hours a week with the hours of 10am-2pm, 5 days a week. The successful candidate will be required to work from our Manchester City Centre office.
Role and Responsibilities:
- Office stock and stationery inventory
- Meet & Greet all internal & external visitors
- Manage all meeting room bookings [encourage effective use of meeting room size/numbers.
- Meeting room set up – provide refreshments, catering, VC support, keep presentable
- General office up keep, organisation and follow GDPR guidelines – maintain a professional image & ensure clean desk policy in place.
- Booking Accommodation and travel arrangements for OMT / ADs
- Assist booking external conference & meeting rooms
- Manage relationship with building management – coordinate office repairs, maintenance, bins, cleaning rota, assist with office security and logs.
- Lead Fire Marshall & First Aider – maintain accident & fire drill log books, ensure that we are up to date with requirements & keep rota for fire marshall & first aiders to ensure office is always covered.
- Internal access pass set up & visitor access [maintain visitor log in case guests in office during a drill.
- Mail Management – both outgoing & incoming – ensure home based employees are aware they have mail at the office & what next steps to be taken. Arrange couriers.
- Call answering and re-routing / message takingOverall point of contact for company – answer queries, point right direction, assist where possible, promote a collaborative office culture
- Improve engagement within the office – support HR team & Event manager with engagement initiatives, company comms emails, help maintain a company bulletin [in office & virtual monthly update on the team eg pictures, personal achievements (new houses, new pet) monthly ‘employee spotlight’ interview]
- Adhoc assistance for multiple departments – PO set up, expenses, travel & meeting arrangements, ordering marketing materials, event support.
- Passing on building management updates – work going on in the building, supplier stands in the lobby, maintenance work that may effect the office [loud building works / lifts out of order]
- Provide support and assistance to EA for OMT level – meeting coordination, travel/hotel bookings, company update speaker rotas [SON speakers], provide holiday cover for EA where appropriate
- Responsible for Office health and safety , co-ordinating with external Health and Safety consultant, ensuring that all procedures are up to date.
