We currently have an opportunity for an Office Administrator part-time with flexible hours and days. Average 2-3 days per week, dependent on workload but likely lead to full time. This is an Office based role, so local and easy commute to Trafford Park, Manchester is preferred but some remote work is possible.
SBS Audio Visual provides audio visual equipment and services for events, rental, repair, installation and retail markets. This multi-skilled role will involve the operation of day to day office admin, overseeing HR, bookkeeping and assisting with the admin for equipment hire, sales and service requirements of the business. You will also be required to provide a polite, friendly and a professional level of customer service within the workplace, online and on the telephone. You may be expected to work across other areas of the business, providing assistance to other departments when required.
Responsibilities and Duties:
- To plan, organise and manage the day-to-day office operations with focus on efficiency and time management
- Assisting the hires, sales and service departments with enquiries via phone, email and in person.
- Assistance with coordinating the team of technicians and freelancers
- Report and take responsibility for issues with any facilities issues, IT, telecoms etc
- Preparation and reconcile of quarterly VAT returns
- Data entry and input of purchase invoices
- Reconcile payments with bank accounts and other accounts.
- Reconciling the supplier ledger to supplier statements
- Raising payments to suppliers and subcontractors
- Chasing outstanding debtors
- Liaising with external accountants in relation to VAT, PAYE and Annual accounts.
- Cashing up and ending the day
- Manage health and safety issues
- Overseeing HR, employee overtime, holidays and sick days
- Sending payroll data to external accountants
- Ensuring all staff keep work areas organised and tidy at all times.
- Order supplies and equipment as needed
Our ideal candidate will possess the following experience and attributes:
- Audio Visual knowledge or having worked previously in the AV or events Industry
- Excellent administration, communication and customer service skills (both verbal and written)
- Problem-solving skills and initiative, the capacity to make quick but rational decisions.
- Good literacy and numeracy skills, a keen eye for detail and accuracy in all work
- The ability to work within a small team as a strong team player
- Be reliable and trustworthy
- Ability to multitask in addition to strong active listening skills
- Bookkeeping experience and accountancy experience
- Can preferably drive
Suitable candidates must have a good knowledge of Excel and various accounting softwares, specifically QuickBooks as that is what we use. You should also be able to work as part of a team, have good communication skills, be adaptable and able to use your initiative. Have excellent attention to detail, be planned, organised and able to effectively work to deadlines.
